Minutes of the Council Meeting,
14th May 2024 Venue, Church House

In Attendance
Councillors S Hughes (SH) Chair, P March (PM) vice-chair, C Burgess (CB) G Wilkinson (GW), D Court (DC),), J Hughes (JM), Kerry Wilcox (KW), the temporary clerk, was in attendance.
1) Apologies – Councillors S Doleman, N Tarmaster and B Ellison.
2) Declarations of Interest – PM and GW in relation to Acre field
3) Minutes of previous meeting
The minutes of the full council meeting on 9th April 2024 were unanimously approved.
4) Councillor vacancies
There are two vacancies for Councillors, and the positions will be advertised and, if there is no request for an election, the council may co-opt a further two councillors.

5) Website update
The work on the website is still progressing. It is in the final stages before it can go live. Business emails with GCCC designation to be set up by each Councillor.

6) Recruitment of replacement Clerk/Councillor vacancy
There has been no interest in the Clerks’ position. It will continue to be promoted and it is hoped that it will be filled.

8) Finance
DC presented the minutes of the finance committee Still waiting for some invoices to be presented. Accounts for 2023/24 are now approved and ready for submission to Audit Wales. After discussion, the following expenditure items were unanimously approved, all minuted at earlier meetings or arising from this meeting
Statutory Councillors Allowances £2,496 Mentir’r £500 (minuted Dec 21)
Internal Audit £60 (09/04/24, no 8)
New Dog bin at a cost of £150 (09/04/24, no 7)
Acre field re-naming day £92 (14/05/24 no 12)
Grant to Glan Conwy school for projector £1600 (09/04/24 no 13)
Grant for Flowers at Maes Hyfryd £100 (09/04/2024 no 13)
Cleaning contract awarded to Dirtbusters, due to no other quotes received (09/04/2024 no 7)
9) Acrefield hut celebration
The date of 15th June was confirmed, and the council was updated on the Acre field committee actions. There was much discussion and enthusiasm for the day. Preparations are going well. It was agreed that Council should have a manned stand on the day explaining our activities with as many Councillors as possible attending (need to check this out with the Hut committee).
10) Noticeboards
An estimate to provide 5 notice boards to the required specifications has been received. The Council are minded to accept this, but have delayed the decision until the estimate can be firmed up and another possible supplier consulted.

11) Planning permissions Two planning submissions were discussed, no observations to CBCC were made.
12) Grant applications The grant to the school for a projector, discussed at the last meeting (09/04/24 no 13) was unanimously approved, the council being in receipt of further information. A grant of £92 to fund leaflets and banners to promote the gala day at Acre field was unanimously approved.
